What We Handle

Individual and group crew travel coordination, air travel and schedule management, ground transportation coordination, airport, port, and vessel transfers, emergency and last-minute crew changes, and ongoing monitoring through completion. All travel and transportation services are arranged through independent third-party providers. We serve as a single point of coordination, managing scheduling, communication, and follow-through while maintaining full transparency across vendors and costs.

Fee Structure

Our pricing is transparent, itemized, and designed to support both one-off crew movements and ongoing operational needs. All coordination fees are clearly separated from third-party travel and transportation costs, which are passed through at cost.

On-Demand Crew Travel Coordination

On-demand coordination is intended for individual or occasional crew movements. A coordination fee of $125 per crew member applies to routine travel planned with standard notice. This includes travel planning and routing, air travel coordination, schedule monitoring and adjustments, vendor coordination and communication, and confirmation through arrival and vessel transfer.

 

For coordinated group movements, reduced per-crew coordination fees apply. Groups of five to nine crew members are billed at $110 per crew member, and groups of ten or more crew members are billed at $95 per crew member. Group movements are managed as a single operation to align routing and reduce disruption risk.

Emergency or time-critical requests are subject to a flat emergency coordination fee of $199 per incident. This applies to same-day or next-day travel requests, missed or canceled flights, after-hours, or holiday response, and time-sensitive vessel schedules. The emergency fee is assessed per incident rather than per crew member.

Retained & Seasonal Crew Coordination

For maritime operators and staffing agencies with recurring or seasonal crew movements, retained coordination is available as an alternative to per-movement fees. Retainer arrangements are designed to reduce internal workload by providing ongoing oversight and a single point of contact for crew travel coordination.

Retainer pricing is structured based on expected monthly or seasonal crew movement volume, geographic scope, and operational complexity. Monthly retainers start at $1,250 and scale based on operational demand, with reduced per-crew coordination fees and priority handling included. Retained coordination is intended to support predictable, ongoing crew travel needs rather than one-off or per-incident requests.

Third-Party Travel & Transportation Costs

Air transportation, ground transportation, accommodations, carrier- and government-imposed taxes, and related services are arranged through independent third-party providers and billed at cost. All third-party charges are fully itemized and disclosed in advance whenever possible.

Billing & Payment

Invoices clearly separate coordination fees from third-party costs. Payment is accepted via credit card or approved electronic methods, and booking confirmations are issued upon payment and vendor confirmation.
